Mobile ticket scanning for organizers

Mobile ticket scanning for organizers

For ticket-based in-person races, volunteers can scan participant ticket codes at the registration desk using the DistantRace mobile app — without full manager console access.

Ticket Scan role #

Invite staff with Ticket scan permission from Club → Members — see Club settings and admins.

Role Can scan tickets Can open manager console
Ticket scan Yes No (mobile app only)
Support team Yes (if also invited) Yes
Administrator Yes Yes

Ticket scan users must log into the mobile app with the same DistantRace account that received the invite.

What gets scanned #

Each paid registration for a ticket-race competition generates an EventTicket with a unique code (also on PDF tickets and confirmation emails).

When a code scans successfully:

  • Status changes to Used
  • Timestamp is recorded
  • Duplicate scans return Already used

Invalid or unknown codes show Not found.

At the venue #

  1. Open the DistantRace mobile app while logged in as a Ticket scan user
  2. Open the scanner (QR / barcode)
  3. Scan the participant's ticket code from email, PDF, or screen
  4. Confirm the app shows valid before handing over a bib or kit

For race-day QR registrations (after online payment closes), see Race-day registration and check-in — workflow may combine QR apply codes with on-site payment recording.

Track scans in the console #

Administrators view sold and scanned tickets under the competition Sold tickets list — Purchase summary.

Export ticket status to Excel for reconciliation after race day.
