On-site payment and in-store registration
When participants register at the registration tent (race-day QR flow or walk-ups), staff record payment in the manager console.
Path: Finance → Orders → open order → On-site view, or competition → participant → on-site tools
Race-day flow #
- Participant completes race-day registration and receives a QR code
- Staff scan or look up the cart
- Open the on-site order view
- Record payment method (cash, card terminal, etc.)
- Assign bib number and hand out materials
Connect to existing registration #
Race-day desks often see someone who already registered online under a different email or a guest profile. Link the on-site cart to their existing entry instead of creating duplicates.

When a match appears #
DistantRace scans sibling competitions in the same series (same parent event) for a prior entry that matches:
- Same full name (normalized)
- Same birth year
- Same distance
- Status registered (not withdrawn)
When found, a red alert shows the prior participant, competition, and bib number (if any). Click the button in that alert — labeled Unable to Register in the UI — to run Connect and register.
What connect and register does #
The action runs over AJAX (no full page reload):
- Merges participant profiles — if the prior entry has a linked user account, that profile is kept; otherwise the on-site profile is kept
- Copies the bib number from the prior entry onto the on-site racer
- Sets the on-site racer status to registered
On success you see a confirmation message. The alert is removed from the screen.
When no match appears #
Assign a bib with Register Participant as usual, or merge profiles later with Merge participants.

Bib assignment #
From the on-site view assign the next available bib or enter a specific number. The system checks the number is not already used.
In-store cart status #
On-site carts use a dedicated status so they appear separately from online checkouts in the order list. Mark paid when money is received.
