Introduction to DistantRace
About DistantRace
DistantRace is a multifunctional platform that integrates with many and various sports applications, allowing the use of this data to create various sports challenges and competitions.
DistantRace can be used by corporate teams and groups of friends alike to create diverse sports challenges and competitions.
Besides various virtual events, DistantRace also supports in-person competitions, providing registration services, result compilation, SMS/WhatsApp message sending, diploma generation, and many other features, which we have described in the section "In-person Competitions."
To create a sports event, a "club" must be created on the DistantRace platform, which will contain all the "club" events. A club can be a company or an organizer or simply a user's name and surname, creating specific challenges and competitions.
DistantRace also provides an API to integrate DistantRace into other systems, for example, a company's HR system, to evaluate each employee's physical fitness.
All events created on the DistantRace platform fall into several groups:
- Daily Step Challenges
- Sports Activity Challenges
- Virtual Competitions
- Remote Competitions
- In-person Competitions
Daily Step Challenges
This is the simplest type of challenge, where daily steps taken are counted. These are compiled from the participant's phone or smartwatch. More information is available here.
Sports Activity Challenges
These are more athletic challenges, where the participant must use a sports app and press "Start" / "Stop" to begin and end an activity. The challenge involves collecting something -- whether it's kilometers, active days, time spent, or calories. Here, various types of sports can be accounted for, and data can be compiled in different ways. More information is available here.
Virtual Competitions
Virtual competitions are an opportunity to create your own internal competitions within a team, for example, who runs 10km the fastest or cycles 50km the fastest. A time window is set for the virtual competition, for example, a week, but it could also be just one day, during which a specific distance must be covered with your sports app. DistantRace automatically compiles the data and determines the winner. Remote Competitions
This is similar to virtual competitions, but the task is to complete a specific single route. For example, mark a trail in the forest and create remote competitions that require completing a specific distance at a specific location within a week. DistantRace automatically compiles the data. In-person Competitions
If you are a competition organizer, we offer extensive possibilities to enable participants to register through the DistantRace platform. It is possible to use only part of the capabilities provided by the platform, or all of them, including automatic data processing of results, validation of sold tickets. How to Access DistantRace Competition Management Views
DistantRace consists of 2 parts – what the participant sees and what the event organizer sees.
To access the competition management views, you need to click on "Competition Management" in the menu, and you will arrive at the organizer's section.
How to Create a Club
To create competitions, the first task is to create your own club. A club does not always have to be perceived as a "club"; it can be the name of the organizer, the name of a company, or simply the first and last name of someone who wants to create events.
For example, if a company wants to create sports events for its employees, then it can be the name of the company.
Or, if friends want to engage in sports together, then it could be, for example, "The Friendly Club".

How to Change Club Information
When a club is created, we only ask for the bare minimum -- the club name, but then, upon opening the club settings, there is an option to change the club information.
- Club email -- this is the email that will be displayed to those who wish to participate in the event but have some questions.
- Timezone -- we choose the timezone in which the events are organized, and all the start/end times of the created sports events will be adjusted to this timezone.
- Country -- the country where the organizer primarily operates.
- Logo -- Here you can add logo information.
Billing Data
- Billing Name -- this will appear on invoices
- Company Number -- the company registration number, which will also appear on invoices
- Company VAT -- the company's VAT number
- Address -- the company address
In case the organizer wants to create sports events with participation fees and advance invoices, it's important to fill in the banking information where the participant will have to deposit the participation fee.
- Bank Name -- The organizer's bank name
- Bank Code -- Bank code
- Bank Account Number -- bank account number
How are costs formed?
If you want to organize challenges and competitions paid for by the organizer
DistantRace offers 2 price categories and 2 different approaches.
- "Pro" - 1 euro per participant per month in one challenge
- "Pro+ Assisted" - 3 euros per participant per month in one challenge
The "Pro" level includes the use of the system and full functionality, while "Pro+ Assisted" also includes DistantRace support in event configuration.
If you choose the "Pro" level, then the organizer must create and configure the event themselves, and DistantRace team support will be available in cases of system errors or bugs. On the other hand, "Pro+ Assisted" offers consultations with DistantRace, as well as priority in problem-solving.
If you wish to organize multiple events over several months, then there is an option to subscribe to DistantRace services. The subscription period has a minimum of 1 year, during which the organizer can create an unlimited number of different events with the subscribed number of participants.
For example, if you know that the maximum number of participants that can join is 200, then by subscribing to the "Pro" level and paying 200 euros per month for the whole year, you can create an unlimited number of sports competitions and challenges each month, where each event can have up to 200 participants.
If you want to create sports events where the participant pays for their own participation
If you want to create such sports events, then we charge 3% of the transaction (minimum 40 cents per transaction) + keep in mind that the bank also takes up to 2% for the transfer.
It is possible to include our commission in the participation fee or to list it as an additional payment.

How to Add Additional Administrators to a Club
A club has the option to add an unlimited number of management users.
Go to the "Members" section and invite a person by entering their email address.
It is possible to specify 4 different access levels:
- Administrator -- full rights
- Finance -- the ability to see finances
- Support team -- support team that does not see financial summaries
- Ticket Scan -- no access to competition management views, but can use the mobile app to scan entry tickets.
From what age can participants join the competitions?
DistantRace can create 2 types of sports events:
- In-person competitions
- Virtual competitions and challenges
To participate in in-person competitions, it is not mandatory for participants to have an account on distantrace.com, so in such competitions, if planned by the organizer, children up to 13 years old can also participate.
For virtual competitions and challenges, each participant needs their own account on distantrace.com, as we need to obtain sports activity data that is associated with a specific user.
Although according to GDPR, registration on various platforms is allowed from the age of 16, member states can set a lower age, but not lower than 13 years old. In Latvia, this age is determined by Article 33 of the "Personal Data Processing Law," which states that a child's data cannot be processed without the permission of a parent or guardian.
Therefore, we cannot allow children under the age of 13 to join challenges and virtual competitions. To address this situation, our platform allows parents or guardians of children younger than 13 years to create a sub-account, in which they can indicate which activity the child has performed.
In each competition, it is possible to enable/disable the use of such sub-accounts.
